ADMINISTRATIVE INSTRUCTION FOR INTAKE 1984 ANNUAL GET TOGETHER TO BE HELD AT OAK FARM COMMUNITY SCHOOL, FARNBOROUGH, ON SATURDAY 07 AUGUST 2010

GENERAL
1. As agreed in previous meetings the Annual get together party of Intake 1984 will be held on Saturday 07 August 2010 at the following venue:

Oak Farm Community School
Ballantyne Road
Cove
Farnborough
GU14 8SS

(A booking fee of £400:00 has already been deposited (refundable) with YBC)

2. The party will be in the form of BBQ and will start from 1000 hours until 2200 hours (tbc). All numbaries with their families will attend the party. Numbaries living locally around Aldershot/Farnborough/Camberley areas are requested to assemble at the venue at 0800 hours at the latest on the day for preparation/fatigues etc.

3. All Area Reps numbaries are requested to collate the numbers from their respective areas and forward it to Secretary by 20 July 2010. They are further requested to submit returns giving breakdown of attendees (ie adult, children, vegetarian etc)

4. The fee for the BBQ will be as follows which will be collected on the day:

Adult - £10
Child (6 to 12) - £5
Under 6 - Free

The Treasurer in liaison with President/Secretary is requested to organize the collection of monies and registration on the day.

5. Timings. Timings for the party will be as follows (this may change depending on the situation that day, so please be flexible):

0800 hrs - Numbaries living in local areas assemble for pre
1000 hrs - Numbaries with families arrive
1100 – 1300 hrs - Starter
1300 hrs onwards - BBQ Start
1630 - 1830 hrs - Dhal Bhat
2200 hrs - Party ends (tbc)

DETAIL AND TASK

6. Food and Drink. As agreed on the coordinating meeting, this year the food and drinks will be provided by YBC company hence there will be less fatigue. However Food IC Prem Gurung (6336) and his assistant are requested to oversee the arrangement of food and drinks on the day. A vegetarian meal for Bartawala didi bahinis and vegans will be provided.

7. Entertainment. PA system and possibly DJ will be provided by YBC however our Entertainment IC Nirmal Gurung (6522), supported by Gangaram Subba (6532) and Suresh Gurung (6484) are requested to organize following events:

a. Tombola
b. Raffle Draw
c. Ladies Game
d. Gents Game (no Tug of war, Please)
e. Children’s game

(Please decide suitable timing for above events as deem convenient by all)

8. They are requested to liaise with President/Secretary/Treasure for further guidance. The Secretary will organize for prizes/tombola/raffle draw tickets etc. The President has kindly agreed to sponsor one of the prizes for Raffle Draw and similarly YBC will sponsor one prize.

9. Banner. The President has kindly agreed to provide/organize for the Intake 1984 banner for the party, the cost of which will be offset from our fund.

HEALTH & SAFETY MATTERS

10. Car Parking. There are ample spaces for car parking at the venue. All numbaries are requested to drive carefully within the area and secure their vehicles properly.

11. Control of children. Although Security Guards will be in place for the party, however it is the responsibility of the parents to look after their children and control their behavior in order to avoid any incidents and accidents.

12. Medics. Although arrangement for medical cover will be covered on Secretary’s brief on the day, our own qualified medics (6484 Suresh Gurung & 6570 Kailash Gurung) are requested to assist on any minor medical emergencies.

13. Drink and Drive. All numbaries are reminded regarding the Drink and Drive legislation in the UK. If you drink please arrange a taxi or even hiring a bus in a group is advisable. In short “IF YOU DRINK, DO NOT DRIVE”.

14. Risk Assessment. A Risk Assessment for the party is at Annex A to this instruction (to follow).

15. Health & Safety, Security and Fire. All numbaries and their families are requested to be vigilant against fire and security. Secretary (Daibaram Rai) will give Health and Safety, Security and Fire brief to all on the day prior to the start of the party.

CONCLUSION

16. Finally let’s make this Annual get together a success and a memorable one and I urged all numbaries to give a hand and assist in any way to make this event a big success.
